Who is responsible?

What we collect and why

When you submit, we collect your name, email, company, optional telephone number, business answers, audit results and source campaign parameters. We use these to prepare your requested report, respond to your enquiry and assess whether a workflow is suitable. We also record the consent wording version, submission time and your separate marketing preference.

Answers remain in the page’s memory until submission. Please do not enter your customers’ personal details, payment information or sensitive data. The calculations are deterministic; the audit does not send your answers to an AI model.

Reports and service providers

The audit is hosted through OpenAI Sites on Cloudflare infrastructure and stores submissions in Cloudflare D1. Resend sends the requested report email and a separate enquiry notification to the ARKOZ office. HubSpot is our sales CRM. New enquirers are added as contacts without automatically enrolling them in marketing. The results screen states whether the requested report has been accepted for sending.

These providers may process information outside the UK. Contact us for information about the providers and transfer arrangements relevant to your enquiry.

Report access and retention

Saved reports use an unguessable private link, available for 30 days. Anyone you share the complete link with can view the business answers and results; keep it private. Reports are not public search pages. The application applies a 90-day retention period to audit submissions and removes expired records during cleanup. Provider backups, notification emails and CRM records have separate retention controls. Contact us to request deletion across the services used for your enquiry.

Your choices and rights

The required acknowledgement covers your requested audit and response. Optional marketing consent is separate, starts unticked and is not required to receive the report. We will only send marketing emails if you choose to receive them. You can withdraw marketing permission at any time.

You can ask for access, correction or deletion and raise concerns at hello@arkoz.co.uk. You may also complain to the Information Commissioner’s Office. We may need to verify your identity when handling a request.

Cookies and analytics

We store your analytics choice on your device for six months. Optional Google Analytics is off until you accept; advertising features are disabled. Analytics events use fixed step and module labels, without contact fields, business answers or private report tokens. Change your choice through Cookie settings in the footer.

Short-lived request counters help prevent abuse; raw IP addresses are not stored in the audit records. Hosting and delivery providers may separately maintain security logs.
